The short version: we collect the details you give us so we can quote for cleaning work, do that work, and invoice for it. We photograph our cleans as proof of work. We never sell your data, and we only share it with the suppliers we need to run the business.

1. Who we are

BRITPOLISH LTD is a commercial cleaning company registered in England and Wales (company no. 15544227). Our registered office is Suite 2, Parkway 5 Business Centre, 300 Princess Road, Manchester, M14 7HR. For anything in this policy, we are the data controller, registered with the Information Commissioner’s Office under registration reference ZC231407.

We are a small company and do not have a separate data protection officer. The director, Manoj Bajgai, is responsible for data protection. Contact us at support@britpolish.co.uk or +44 7577 133714.

2. What we collect

Depending on how you deal with us, we may hold:

  • Your name, email address, phone number and company name.
  • Details you give us about the work: property addresses or postcodes, property types, number of properties, access arrangements, and anything you write in the quote form or tell us by phone, email, SMS or WhatsApp.
  • Records of the cleans we carry out, including dates, notes and photographs.
  • Invoicing and payment records.
  • If you apply to clean for us: your contact details, right-to-work documents and bank details for payment.

We do not collect any special category data (such as health or biometric data), and our services are not aimed at children.

3. Why we collect it, and our lawful basis

  • To answer your enquiry and prepare a quote: taking steps at your request before entering a contract.
  • To schedule, deliver and report on cleaning work, and to invoice for it: performance of our contract with you.
  • To keep accounting and tax records: our legal obligations, mainly to HMRC.
  • To keep proof-of-work photographs and service records, and to protect ourselves and you if there is ever a dispute: our legitimate interests in running the business properly.
  • To send you marketing: only with your consent, and you can withdraw it at any time. We do not send marketing to people who have simply asked for a quote.

4. Photographs of properties

Our cleaners photograph properties during visits as evidence of the work done. This matters in our line of work: it is how we prove the standard of a clean and resolve any question about it.

These photographs show the property, not people. They are shared with you as the client where reporting is part of the service, and otherwise seen only by our team. We do not use photographs of your property in our marketing without your permission.

5. How long we keep it

  • Enquiries that do not become work: up to 12 months, then deleted.
  • Client records, contracts and invoices: 6 years after the end of the tax year they relate to, which is the period HMRC requires.
  • Proof-of-work photographs: normally 12 months after the visit, or longer if they are needed for an unresolved dispute or insurance claim.
  • Cleaner and applicant records: for the working relationship plus the periods required by employment and tax law; unsuccessful applications are deleted within 6 months.

6. Who we share it with

We never sell personal data. We share it only where the business needs it to function:

  • Service providers who process data on our instructions: Vercel (website hosting), Resend (sending and receiving email), Supabase (secure data storage), and Twilio (SMS and WhatsApp messaging).
  • Anthropic, whose AI tools help us draft replies to enquiries and reminders. A person reviews anything before it is sent, and the provider does not use our data to train its models.
  • Our accountant and, if a claim arises, our insurer.
  • A landlord, letting agent or property manager, where the contract for the work is with them rather than with you.
  • The police, HMRC or other authorities where the law requires it.

Some of these providers are based in the United States. Where data leaves the UK, it is protected by recognised safeguards such as the UK Extension to the EU-US Data Privacy Framework or the UK International Data Transfer Agreement.

7. How we keep it safe

Access to our systems is limited to the people who need it, protected by authentication, and data is encrypted in transit. Cleaners see only the job details they need for their own visits. If a breach ever put your rights at risk, we would tell you and the ICO as the law requires.

8. Your rights

Under UK GDPR you can ask us to:

  • Give you a copy of the data we hold about you.
  • Correct anything that is wrong.
  • Delete data we no longer need to keep.
  • Restrict or object to how we use it.
  • Send your data to you or another provider in a usable format.

9. Cookies

This website does not set advertising or tracking cookies. Our analytics is cookie-free and anonymous. The detail is in our cookie policy.

10. Changes to this policy

If we change how we handle personal data, we will update this page and the date at the top. Significant changes will be flagged to existing clients directly.
